Booking Terms The following terms set the foundation of your agreement with ChinaStudentTour.com, located at 7/77 Mill Point Rd, South Perth WA 6151. Please read these conditions carefully before submitting a booking request, as they outline the rights and responsibilities between you and us. By making a booking request, you confirm that you understand and accept these terms, as well as the specific requirements of your selected tour.

These terms govern the planning and provision of travel arrangements. In this document, references to “holiday,” “booking,” “contract,” “package,” “tour,” or “arrangements” specifically pertain to your travel plans. The terms “you,” “your,” “customer,” or “passenger” refer to all individuals listed in the booking request (including those added later), while “we,” “us,” or “our” refer to China StudentTours.com.

Once your booking is confirmed, you agree to comply with these terms. We reserve the right to modify the Booking Terms at any time before you submit a booking request. The latest version of these terms is available on our website and should be reviewed before finalizing your booking.

Your Holiday Agreement

At ChinaStudentTour.com, the individual listed first in a booking request, referred to as the "Lead Traveller," must ensure they have the authority to make reservations on behalf of all listed participants, including parents or guardians for any travelers under the age of 18 at the time of booking.

  • Lead Traveller Responsibilities:

    • Must be at least 18 years old when submitting the booking request.

    • Responsible for all payments associated with the booking for all group members.

  • Booking Confirmation:

    • Once we receive your booking request along with the required payments (see "Payments"), we will issue a confirmation invoice if the requested arrangements are available.

    • A binding agreement is established once the confirmation invoice is sent via email to the Lead Traveller or their appointed travel agent.

We reserve the right to decline booking requests at our discretion.

At ChinaStudentTour.com, we strive to provide a seamless travel experience through the following services:

Planning and Coordination: We organize every aspect of your travel itinerary, including accommodation, transportation, and activities.

Direct Arrangements: Where applicable, we manage travel arrangements that are under our direct control.

We invest a great deal of effort in pre - travel planning to ensure that every detail of your trip is carefully coordinated.

Your Information

Your Information For the convenience of accurately arranging your trip, please provide the passenger name exactly as it appears on your passport, including the middle name, when making a reservation.

Passport Copy: A copy of your passport is required when making a reservation.

Corrections: Any spelling corrections after paying the deposit must be submitted in writing.

Failure to provide accurate information may result in us charging additional fees as well as reasonable administrative fees. Ensuring the accuracy of your details is crucial for a smooth travel experience!

Your Responsibility to Verify Details​​

To ensure a smooth travel experience, please review the confirmation invoice immediately upon receipt.

Take immediate action: If you find any incorrect or incomplete information, please contact us immediately. Timely communication enables us to make necessary corrections while changes are still possible.

Notification deadline: Notify us within 24 hours after receiving the document. Requesting corrections after these deadlines may incur additional costs.

Liability: Unfortunately, we cannot be held liable for errors if they are not reported within the specified time frame.

If you decide to modify or cancel your arrangements in the future, modification or cancellation fees may be charged (for details, please refer to 'cancelation by you').

Prices

General Information:

  • Prices depend on the availability of tours, accommodations, and transportation services.

  • All prices are quoted in Australian Dollars ($AUD) and are accurate at the time of publication. For the latest updates, please visit our website.

  • Pricing includes accommodation, local transportation, and other listed inclusions. International flights and round-trip airfare are not included.

Additional Costs Not Included:

  • Passports, vaccinations, insurance, meals not specified, emergency evacuations, gratuities, and personal expenses.

Price Adjustments:

  • ChinaStudentTour.com reserves the right to correct any obvious errors or omissions in pricing and to revise verbal quotes once confirmed in writing.

  • Special offers apply only to new bookings.

Itinerary Deviations:

  • Prices for fully inclusive tours are based on group travel. Any deviations from the itinerary may result in additional charges, including extra transportation costs.

Payments

Deposit & First 50% Payment:

  • A non-refundable deposit of $300 per person is required (or full payment if booking within 180 days of trip commencement).

  • The first 50% payment deducted $300 deposit must be made within 14 days of the booking request.

  • Services may not be held until the deposit is received; availability or prices may change, for which you would be responsible.

  • Higher deposits may apply for pre-purchased items like flight tickets, cruise cabins, or rail accommodations, and special offers requiring early ticketing. This will be disclosed at the time of quotation.

Balance Payment:

  • The final payment is due no later than 120 days before the confirmed tour start date.

  • Air tickets are issued after receiving the full balance.

  • If payments are not received on time, the booking may be treated as cancelled, and cancellation fees will apply (refer to "Cancellations by You" for details).

Payment Method: Electronic Transfer. Once booked, the confirmation of book email will send to you including the payment details. 

Card Processing Fees:

  • Payments via credit or debit cards incur a processing fee to cover costs.​​

Amendments by You

At ChinaStudentTour.com, we strive to accommodate amendments and additional requests whenever possible.

Important Considerations:

  • For group departures, transferring a booking to a different departure date is considered a cancellation.

  • Amendments may not always be feasible, depending on circumstances.

Fees and Costs:

  • A amendment fee per change will be charged to cover communication and administrative expenses.

  • Any additional costs imposed by suppliers must also be paid by you.

We appreciate your understanding and will do our best to assist with any necessary changes!

Amendments by Us

Before Your Trip:

  • At times, we may need to make adjustments to your itinerary or its inclusions. If we identify any significant changes before your trip begins (while still ensuring the trip can proceed), we will notify you within a reasonable timeframe.

During Your Trip:

  • You acknowledge that unforeseen local circumstances beyond our control—such as adverse weather, transport schedule changes, road conditions, or vehicle breakdowns—may require modifications to your itinerary, transportation, accommodations, or included activities. In such cases, we reserve the right to pass on any costs associated with alternative arrangements made for your benefit.

General Terms:

  • We are not responsible for omissions or changes to the itinerary or inclusions caused by Force Majeure or other uncontrollable events after your booking has been confirmed.

  • This includes any inconvenience or loss of enjoyment resulting from such changes.

  • If compensation applies, it will be adjusted based on the value of any alternative services you accept.

  • We are not liable for additional expenses or losses incurred due to modifications or omissions in your itinerary or its inclusions.

Cancellation by You

Group Tour Cancellations:

Cancellations must be submitted in writing to ChinaStudentTour.com and will be subject to the following charges, based on the date we receive your written cancellation request:

  • More than 180 days before departure: Loss of deposit

  • Between 179 and 120 days before departure: 50% of the total cost

  • Between 119 and 90 days before departure: 75% of the total cost

  • 89 days or less before departure: loss 100% of the total cost

  • No-show: loss 100% of the total cost

Ticketed Services:

  • Certain tickets, such as cruise or rail bookings, may have separate cancellation policies based on supplier terms. These will be communicated at the time of booking.

Refunds After Departure: 

  • Once your tour has commenced, refunds will not be provided for unused or inaccessible services unless the issue is within our control.

General Notes:

  • Cancellation fees are non-negotiable, and exceptions will not be made.

  • Special groups, short stays, extensions, and tailor-made tours may have different cancellation terms, which will be communicated at the time of booking.

Cancellations or Rescheduling by Us

Force Majeure Events:

Force Majeure refers to events beyond our control that we could not reasonably prevent, including but not limited to:

  • Natural disasters (floods, fires, earthquakes, landslides, volcanic eruptions, etc.).

  • Severe weather conditions (such as hurricanes or cyclones).

  • War, armed conflict, civil unrest, labor disputes, or terrorism.

  • Epidemics or pandemics.

  • Changes in laws, regulations, or government orders (such as travel restrictions).

Before Your Trip:

  • If we determine that your travel arrangements cannot safely or legally proceed due to a Force Majeure event, we may:

    • Reschedule your travel arrangements (in whole or in part).

    • Cancel your travel arrangements (in whole or in part), effectively terminating our contract with you.

  • In the event of cancellation, both parties waive claims for damages. However, refunds will be issued after deducting:

    • Unrecoverable third-party costs.

    • Administrative overhead charges.

    • Fair compensation for work undertaken on your travel arrangements and refund processing.

During Your Trip:

  • If Force Majeure results in the cancellation of travel arrangements after your trip has begun, you will receive a refund for recoverable third-party costs related to the canceled services only.

General Terms for Force Majeure:

  • If we provide alternative services or assistance in place of canceled or rescheduled arrangements, the refunded amount will be reduced by the value of these services.

Other Cancellations (Minimum Numbers):

  • We reserve the right to cancel a tour if the required minimum number of participants is not met.

  • You will be notified at least 60 days before departure in such cases.

Refund Options:

  • For cancellations unrelated to Force Majeure, you may choose

    • A full refund of all payments made.

    • An alternative trip of similar quality (if available).

We are not liable for additional costs or losses incurred due to rescheduled or canceled travel, whether related to Force Majeure or not.

We strongly recommend purchasing comprehensive travel insurance to mitigate financial risks associated with cancellations or rescheduling due to Force Majeure events.

Cancellation Due to Government or Public Health Authority

At ChinaStudentTour.com, if a government or public health authority issues a mandatory quarantine directive requiring you to cancel or modify your travel plans within 89 days of departure, the following terms apply:

  • Liability for Third-Party Costs: We are not responsible for third-party costs, cancellation fees, or prepaid arrangements (such as cruise bookings or rail tickets).

  • On-Tour Costs: If you are required to quarantine or return home early during your tour, we are not liable for any additional expenses, including extra accommodation or modifications to your travel plans.

  • Recovery Efforts: We will make every effort to recover funds on your behalf or negotiate a credit for future use in cases where travel disruptions occur due to these directives.

  • Travel Insurance Recommendation: We strongly encourage purchasing travel insurance that suits your individual needs, including coverage for pre-existing conditions and disruptions caused by global events. Comprehensive travel insurance provides essential protection.

Refusal of Carriage

ChinaStudentTour.com reserves the right to remove customers from group tours if their actions compromise the safety or enjoyment of other participants. This includes, but is not limited to:

  • Physical, medical, or mental incapacity that prevents participation in the tour.

  • Disruptive or inappropriate behavior that affects the group experience.

  • Possession of prohibited substances or materials.

Refunds and Costs:

  • If removed from a tour, you will not be eligible for refunds for unused services.

  • You will be responsible for any additional expenses incurred as a result.

These measures are in place to ensure a safe and enjoyable experience for all travelers.

Accommodation​​

At ChinaStudentTour.com, hotel descriptions are based on the latest details provided by suppliers. However, please keep in mind:

  • Listed facilities may change at any time.

  • Maps and photographs are for general reference only and may not precisely depict actual routes, locations, or services.

  • While we make reasonable efforts to ensure accuracy, we cannot guarantee that all hotel details are always correct.

Substitutions:

  • When necessary, we reserve the right to replace hotels, vessels, or other accommodations with options of comparable or higher standards.

Travel Insurance

For cruise and tour packages, travel insurance and proof of coverage are mandatory. For all other tours, while not required, we strongly recommend purchasing travel insurance to protect your trip.

Benefits of Comprehensive Travel Insurance:

  • Covers cancellation fees, medical expenses, luggage protection, repatriation, and additional costs.

  • Provides security against unexpected disruptions during your travels.

We encourage securing insurance at the time of your deposit payment, as cancellation fees apply from that point onward. The choice of insurer is entirely yours, allowing you to select coverage that best suits your individual needs.

Health Requirements

When planning your travel with ChinaStudentTour.com, all customers must ensure they are aware of and comply with the health and vaccination requirements for the countries they are visiting.

Important Guidelines:

  • Any pre-existing conditions, including dietary restrictions, food allergies, disabilities, medical, psychological, or behavioral conditions, should be discussed with your doctor to assess your suitability for the tour.

  • It is your responsibility to ensure you have the appropriate level of health and fitness for your selected trip.

Disclosure:

  • If you have a medical condition that may require medical attention or impact the tour’s normal operation, please inform us at the time of booking.

  • We may request a medical assessment from a qualified practitioner.

  • If the assessment indicates that you require special assistance beyond what we can reasonably provide, we may cancel your booking.

  • If you disclosed your condition at the time of booking, you will receive a full refund of payments made.

  • Failure to notify us or provide a timely medical assessment may be considered a cancellation by you.

Policy:

  • We may cancel bookings if undisclosed or changed medical conditions require assistance beyond what we can provide.

  • Comprehensive travel insurance with cancellation coverage is strongly recommended for added peace of mind.

Travel Documents & Visa Processing

Passport Requirements:

  • A passport with at least six months of validity and two blank pages is required upon return to Australia.

Visa Processing:

  • Non-Australian passport holders may need to pay additional fees and provide extra documentation.

  • Note: Assistance with visa processing may not be available for some nationalities.

Deadlines & Fees:

  • Passports must be submitted at least 75 days before departure.

  • Submissions after this deadline may require urgent visa processing fees, which will be communicated at that time.

  • Unless requested otherwise, passports will be returned with final documentation around three weeks before departure. Early returns may incur additional fees.

Customer Responsibility:

  • Travelers are responsible for ensuring the accuracy of documentation, passport validity, purchasing additional required passport photos, and covering the cost of dispatching passports.

  • China Student Tours does not issue foreign visas but submits applications to relevant authorities.

  • We are not responsible for visa rejections or associated costs, which remain the traveler’s liability.

Late Bookings:

  • Bookings made within 75 days of departure are considered late and may incur extra fees, including urgent visa charges.

  • For bookings made less than 30 days before departure, travelers must independently apply for their visas.

Seatbelt Usage

Seatbelt laws vary across different destinations, and local populations may choose not to wear them.

Availability:

  • Local operators may or may not equip vehicles with seatbelts, and in some cases, they may be concealed beneath protective covers.

Recommendations:

  • Customers are advised to use seatbelts whenever available and remain seated while the vehicle is in motion.

Acknowledgment & Responsibility:

  • Travelers acknowledge that seatbelts may not always be available and agree to travel at their own risk.

  • By accepting these terms, customers waive the right to make claims for injuries or damages related to the absence of seatbelts and release China Student Tours.com from liability.

Safety is always a priority, and we encourage customers to exercise caution during their travels.

Liability for Additional Activities

China Student Tour.com is not responsible for any additional activities or excursions that:

  • Are not included in the booked itinerary.

  • Are arranged as an agent for the principal operator.

Furthermore, any advice or recommendations provided by guides or local representatives do not imply liability on our part. Travelers are encouraged to exercise discretion when participating in independent activities.

Shopping & Other Services

Exploring local markets can be a rewarding and enjoyable experience. However, please keep the following in mind:

  • No Guarantees:

    • ChinaStudentTour.com, its staff, and employees do not verify or guarantee the quality, value, or suitability of purchased goods or the retail outlets visited.

    • Likewise, we cannot ensure the security of credit card transactions.

  • Customer Responsibility:

    • All purchases and credit card usage are made at the traveler’s own discretion and risk.

    • Leisure activities and services undertaken during free time are also the traveler’s responsibility.

Travel Risks Disclaimer

Travel naturally involves certain personal risks that may exceed those encountered in everyday life. These risks may arise from:

  • The adventurous nature of your trip.

  • Geographical, political, or cultural challenges associated with your chosen destinations.

Guidance:

We strongly recommend reviewing travel advisories and guidance issued by the Department of Foreign Affairs and Trade (DFAT) for your intended destinations.

Acknowledgment:

By choosing to travel after reviewing DFAT recommendations, you accept the additional personal risks involved.

Disclaimer:

To the fullest extent permitted by law, we disclaim liability for these risks.

This ensures travelers make informed decisions while embracing the potential challenges and rewards of their journey.

Responsibility

Services Supplied by Independent Suppliers:

Our responsibility is limited to taking reasonable steps to select reputable independent suppliers and arrange for them to provide travel services.

Examples of Independent Suppliers include:

  • Railway and cruise operators

  • Hotels

  • Transport companies

  • Common carriers

As intermediaries, we are not responsible for disputes, loss, damage, personal injury, or delays caused by the actions or omissions of independent suppliers.

Services We Directly Provide

If we are the principal supplier, we will deliver travel arrangements with reasonable skill and care.

We are only responsible for employees, agents, or suppliers working under our direction.

We do not accept liability for loss, damage, claims, or expenses resulting from:

  • Your actions or omissions

  • Third parties not connected to the travel arrangements

  • Force Majeure events

Scheduled times are approximate, and we are not liable for missed connections or additional costs due to delays.

General Liability Limitation:

  • Travel arrangements that comply with local laws are considered properly performed, even if they differ from Australian standards.

  • We acknowledge the mandatory conditions and warranties imposed by Australian Consumer Law. Beyond these, we disclaim all warranties.

  • Our liability is limited to either resupplying travel arrangements or covering the cost of resupply.

Procedures for Lodging Complaints or Claims

At ChinaStudentTour.com, we are committed to handling complaints efficiently and effectively. If you are dissatisfied with any aspect of your travel arrangements, please follow these steps:

Immediate Reporting:

  • Notify the National Escort or Local Guide as soon as possible, allowing them to attempt to resolve the issue during your trip.

Filing a Complaint or Claim:

  • If the matter remains unresolved and you wish to lodge a formal complaint or claim, please submit it in writing to China Student Tours.com in Perth.

  • Alternatively, you can email us at info@chinastudenttours.com.

  • Ensure your complaint or claim is submitted within 30 days of completing your travel arrangements.

Supporting Documentation:

  • Attach all relevant receipts and supporting evidence to your written claim.

Policy Information:

  • Our comprehensive complaints handling policy is available upon request.

Privacy Policy

ChinaStudentTour.com collects your personal information to efficiently process your booking. If you have provided consent, we may also use your details to keep you informed about exclusive offers and product updates that may interest you.

Opting Out:

  • You have the option to unsubscribe from promotional communications at any time.

Privacy Management:

  • All personal information shared with us is handled and protected in accordance with China Student Tours. Com's privacy policy.

We are committed to safeguarding your privacy while ensuring a seamless booking experience.

Agent Responsibilities

At China Student Tour.com, travel agents are expected to fulfill the following responsibilities:

Accuracy:

  • Agents must ensure that all invoices, itinerary details, and documentation issued by China Student Tours.com are correct.

  • Customers must be informed about amendment and cancellation policies, as well as other provisions outlined in the Booking Conditions.

Passport Submissions:

  • Agents are responsible for providing copies of valid passports at the time of deposit.

Accountability:

  • If agents fail to meet these responsibilities, any claims must be directed to the agent.

  • China Student Tour.com is not liable for claims arising from agent errors or omissions.

Law of Contract

This contract is governed by the laws of the State of Western Australia. Any legal action arising from this agreement shall be litigated exclusively in the appropriate court within that state, which holds jurisdiction over such claims.
